Customer Contact Database for Nigerian Banks: Keep Phone, Email and Next of Kin Current

A customer contact database that is out of date fails when you need it most: a quiet account, a regulator’s question, a pension record check. Here is what to store and how to keep it current.

Why contact data goes stale

Customers change numbers, switch email addresses and move. A record that was right at onboarding may be wrong two years later, and nobody notices until the bank needs to reach the customer.

What to store

  • Two or more channels. Phone, email and address, each with a last-confirmed date.
  • Delivery signals. Bounced SMS, failed email and returned mail.
  • A consented next of kin. A named person and the date they agreed.
  • Contact history. What was tried, when and the result.

How to keep it current

  1. Ask for a next of kin at onboarding, and record consent.
  2. Send a one-tap refresh prompt in the app or by SMS on a schedule.
  3. Flag the record when a message bounces and fix it before the quiet period ends.
  4. Log every attempt so the team can show it to an auditor.
  5. Count each quarter how many records are complete and recently confirmed.

Common questions

What should the database hold?

At least two ways to reach each customer, the date each was last confirmed, delivery problems such as bounced SMS or returned mail, and a consented next of kin with the date they agreed.

Why does it matter for dormancy?

The CBN’s guidelines, as commentary summarises them, expect banks to warn customers before an account becomes dormant and to try to reach account holders or their beneficiaries. Both need working contact details.

How does it relate to PenCom data recapture?

Recapture asks pension administrators to confirm contributor records, and next-of-kin details go stale in the same way. A refresh process that works for banks works for administrators too.

Is this the same as a next-of-kin register?

No. The contact database holds ways to reach the customer. The register holds the people the customer wants contacted, with consent.
